Booking

Book by internet

1. Log onto www.apartmentsalacarte.co.uk and go to 'contact us'.

2. Complete the form and send us your enquiry.

3. We will confirm your booking within 2 working hours and send you an electronic and/or physical invoice for payment.

4. If your booking is made prior to 4 weeks before your arrival date payment will be requested in two stages; a first stage payment of 25%, followed by a request for the balance 4 weeks prior to your arrival date.

Book by phone

1. Phone us on +44 (0) 1223 579942. If we are not available to answer the phone you can leave a message and we will get back to you as soon as possible - we aim to return calls within 2 hours.

2. We will take your requirements and details over the phone and confirm your booking verbally.

3. We will then send you an electronic confirmation and an electronic and/or physical invoice for payment.

4. To complete your booking you should pay the amounts due in accordance with the section headed "When to Pay".

5. If your booking is made prior to 4 weeks before you arrival date payment will be requested in two stages.

Book by post

2. Include the following details:

* Your name
* Your contact email address
* Your contact telephone (including STD code)
* Town you wish to visit (e.g. Cambridge)
* Type of apartment (e.g. 1 bedroom)
* Number of apartments
* Number of guests and names
* The arrival date
* The departure date
* Name of company paying the bill (or persons name, if not company)
* Contact name within company (if bill is being paid by a company)
* Address of company paying the bill (including city, post/zip code, country)
* Any special requirements

3. We will confirm your booking within 2 working hours of receipt and contact you by email or phone to confirm your booking.

4. We will then send you an electronic and/or physical invoice for payment (of either the deposit or full payment).

5. To complete your booking you should pay the amounts due in accordance with the section headed "When to Pay".

6. If your booking is made prior to 4 weeks before your arrival date payment will be requested in two stages.

Payment - Rates

Apartments a la Carte offers 2 rates for each apartment:

Daily rate 1-5 days - from 4pm any day to 10am the following day

Weekly discounted rate - for 7 consecutive days, from 4pm any day to 10am any day

If you wish to book for longer than 12 weeks a further discount may be available.

The total bill for any booking of 7 days or more will automatically be calculated using the 7-days discounted rate, with odd days being charged at the daily rate.

For example, if you wish to book 9 days you will be charged:

1x weekly rate
2x daily rate

When to pay

An initial payment of 25% of the total cost of your stay is payable when you book. Upon receipt of the initial payment we will send you a further written confirmation of your booking, detailing the total cost of your stay, the amount paid and, where applicable, how much remains to be paid. The balance is payable 4 weeks before your arrival date. If you book within 4 weeks of your stay the full fee will immediately be payable.

If any fees are not received in accordance with the above paragraph, your booking may be cancelled by Apartments a la Carte and any payments already made, will be forfeited.

Paying by cheque

Cheques can be used for UK POUNDS STERLING payments only and should be made payable to Apartments a la Carte.

They should then be sent, with your Booking Reference number, to:

Note: please allow sufficient time for your cheque to arrive.

Paying by credit/debit card

Credit and debit cards can be used for payment. Please be aware of the various surcharges, as listed in point 4. Card details can be taken:

1. over the phone by calling +44 (0)1223 579942, OR

The details to include in your letter are:

Paying by bank transfer

Bank transfer payments can be accepted by arrangement with Apartments a la Carte, but all bank charges incurred will be your responsibility.

Paying by other methods

We accept the following types of payment as listed in section 4 below.

Cancellation

Any cancellation of your booking (in whole or in part) must be made in writing to:

Note: the booking will be deemed cancelled on the day the written cancellation arrives with Apartments a la Carte.

When you can cancel

You can cancel at any time but you will be liable for some, or all of the fees, depending on how much notice you give us. Cancellation fees are calculated as follows:

Fees retained

The fees retained in the event of a cancellation are based on the following table:

More than 4 weeks before start of cancellation period - £25 administration charge
Between 2 and 4 weeks before start of cancellation period - 25% of total fee due
Between 1 and 2 weeks before start of cancellation period - 50% of total fee due
Within 1 week of start of cancellation period - 75% of total fee due
The fee is the full fee due for the part of your stay that you wish to cancel.

Terms and Conditions

1. General

These booking conditions set out the basis upon which the accommodation reservations are accepted for clients ("you") by "Apartments a la Carte" ("us", "we").

2. Initial and Balance of Payment

A contract shall come into effect between you and us when we issue to you a confirmation of your booking.

3. Late Bookings

You may book your stay at any time, right up to the day of arrival subject to availability. No extra fees are charged for late bookings but payment must be made in advance and in full and should be paid by credit card in this case.

4. Prices

All prices are quoted in UK Pounds Sterling. They are inclusive of rental of the apartment/s for the duration of your stay and all our fees, but are exclusive of VAT. Where published the prices are correct at the time of publication.

Direct Bank Transfer, although payer is responsible for all bank charges including exchange rate differences
MasterCard, VISA, Delta 2% surcharge
Amex UK Pounds Sterling 5% surcharge
Switch, Solo, Maestro

Payments are accepted in Pounds Sterling and must be clear of any bank charges or exchange rate variation.

5. If You Cancel Your Booking

Any cancellation must be notified to us in writing and you may be liable to pay cancellation charges. Please refer to the section headed "Cancellation" for details of these charges. Depending on the reasons for your cancellation, you may be able to reclaim these cancellation charges from your insurance company, if you have taken out travel insurance.

We strongly recommend that all clients obtain appropriate travel and personal insurance cover.

6. If You Alter Your Booking

If you wish to alter your booking (e.g. change the dates of your stay or the accommodation requested), we will use all our reasonable efforts to comply with your request, however we cannot guarantee that we will be able to do so and we accept no liability for any loss, damage or additional expense that may be incurred in that circumstance. In addition we may charge, at our discretion, an amendment fee of up to a maximum of £25 per person to cover the necessary administration costs incurred.

7. If We Cancel Your Booking

In exceptional circumstances we may find it necessary to cancel your booking and if so, we shall make all reasonable efforts to offer a suitable alternative. If this is not acceptable, and subject always to clause 20, we will refund any sum you have paid to us which shall, subject always to the first paragraph of clause 21 below, constitute full and final settlement of any liability we may have to you as a result of such cancellation.

8. If We Alter Your Booking

If it is necessary to alter the confirmed itinerary before departure, we will use all reasonable efforts to notify you as soon as possible. Subject always to clause 19, if these alterations are unacceptable you may cancel that part of your booking that relates to the alteration and receive a full refund for that part of the booking, which shall constitute a full settlement. If, in this circumstance, you wish to cancel that part of the booking which is affected you must inform us within 3 days of receipt of the notification of variation. Failure to do so will be deemed as acceptance of the variation.

9. Occupants

Only persons notified to us prior to your arrival may occupy the apartment. You may not re-let/sublet the apartment to any other third party without our prior written approval.

The number of persons permitted to occupy the apartment is limited to the number of beds available and this limit may not be exceeded without our prior written approval. We reserve the right to refuse admittance to the apartment if this condition is not complied with.

10. Check-in and Check-out

You must comply with our rules for checking-in and checking-out. Unless otherwise agreed in advance, apartments will usually be made available from 4:00pm on the day of arrival. Keys will be made available during normal working hours although prior arrangements may be able to be made for collection outside of normal working hours and on Sundays.

Unless otherwise agreed in advance, all apartments must be vacated by 10:00am on the day of departure. Keys must be returned by 10:30am on the same day, although prior arrangements may be able to be made for return of keys on alternative days prior to the day of departure and outside of normal working hours.

If there is any delay in vacating the apartment beyond the agreed time, a full day's rental, calculated as one seventh of the weekly rate applicable, may be charged to you.

11. Facilities and Services

All apartments are fully furnished to a high standard and include a kitchen fully equipped with appliances, cutlery, crockery, and kitchen utensils. No food is provided.

A welcome pack is provided on arrival. This consists of fresh milk, tea, coffee, sugar and sufficient washing machine and dishwasher products for your stay.

A full inventory of equipment and utensils will be in the apartments. No items may be removed from the apartment.

Unless otherwise specified, the prices quoted include a weekly maid service, heating, electricity, gas, water, internet connection, council taxes, television license and telephone line rental charges. The price also includes linen and towels, which are changed once a week. The price does not include charges for phone calls made. Any extra facilities and charges are solely at our discretion.

12. Usage

The apartment may only be used for residential purposes, e.g. eating, sleeping, cooking, watch TV, etc. Normal home working is permitted but the apartment is not to be used for business activities that would increase the flow of people to/from the apartment or otherwise disturb surrounding residents, e.g. interviewing or holding meetings.

13. Pets

Regrettably no pets of any kind are permitted under any circumstances.

14. Smoking

Apartments a la Carte operates a NO SMOKING POLICY. Smoking is not permitted in the apartments or in any other area of the apartment block.

15. Damage

We will not be responsible for any loss or damage to your goods or personal belongings kept at the accommodation. You are also responsible for taking all reasonable care of the apartment and its contents. The apartment and all equipment, utensils, furniture etc. must be left clean and tidy at the end of your stay.

Except in the case of normal wear and tear you are responsible for any damage to the apartment or its contents during your stay which has occurred due to the negligence, willful default or irresponsible behavior on the part of yourself or those occupying the apartment or their guests. Any damage must be reported to us by you, without delay. Without prejudice to any other right or remedy we may have, you may forfeit your damage deposit (or an appropriate proportion of it) if you do not leave the apartment in the same state as it was in upon your arrival.

16. Insurance

You will ensure that nothing is done which may jeopardize our insurance policy or any part of it in respect of the apartment and its contents.

17. Rights of Access

We, or our authorized agents, may at any time access the apartment for the purpose of inspection of the apartment, and to carry out repair or maintenance work.

18. Security of Tenure

As the apartments are used as serviced holiday accommodation they are exempt from security of tenure legislation.

19. Information

All information supplied to you by us, is given in good faith and is based on information reasonably available to us at the time. All errors and omissions are accepted. Whilst all reasonable efforts have been to ensure the accuracy of any such information, we will not, subject always to the first paragraph of clause 11.1 below, be liable, for any inadvertent inaccuracies in such information.

20. Force Majeure

We will not be liable for any delay, loss, damage or expenses incurred if your booking needs to be altered or cancelled or we are unable to perform our contractual obligations as a result of events beyond our reasonable control, which shall include but not be limited to events such as war, civil strife, terrorist activity, labour disputes, natural or man-made disaster, fire, flood, and adverse weather conditions.

21. Warranty and Liability

Nothing in these conditions shall affect your statutory rights. More specifically, nothing in these conditions shall restrict our liability for death or personal injury caused by our negligence, or for fraudulent misrepresentation.

We warrant to use all reasonable efforts to ensure that your chosen accommodation is properly arranged and is of a reasonable standard. You must immediately notify of us any complaint, and in any event no later than 24 hours after your departure and, if we are found to be in breach of this warranty, we will at our option either provide you with a replacement apartment (if reasonably practicable) or refund to you the price paid by you to us.

However, we shall not be liable and for actions or omissions of property owners (where the property is not fully owned by us), or of any other third party.

In no circumstances shall we be liable to you, in contract, tort (including without limitation negligence) and/or breach of statutory duty, or otherwise, for any losses, costs, claims, damages or expenses including without limitation loss of profits, revenue or income (whether actual or potential), loss of business (whether actual or potential) or for any indirect or consequential (including economic) loss of any kind.

Our total liability to you howsoever arising as a result of or in connection with your booking shall be limited to the total amount paid by you to us for such booking.

22. Law, Jurisdiction and General

These conditions and all matters arising in relation to your booking shall be interpreted, construed and enforced in all respects in accordance with English law and you and we each irrevocably agree to submit to the exclusive jurisdiction of the English Courts over any matter or claim arising from or in connection therewith. The place of performance shall be England.

If any provision of these conditions is held to be unlawful, void or unenforceable then that provision shall be deemed deleted and its deletion shall not affect the validity and enforceability of the remaining provisions.

No failure by us to exercise any of our rights under these conditions shall operate as a waiver of our rights.

The contract between us and you is for the sole benefit of you and us and is not intended to confer any benefit upon any third party whether under the Contract (Rights of Third Parties) Act 1999 or otherwise and no third party shall have any right to enforce such contract.

Your booking is personal to you and us and you shall not assign or transfer it in whole or in part.
